How Indexing Service Works in Windows 2000 Search

The Indexing Service in Microsoft Windows 2000 is a built-in background engine designed to accelerate file searches by building and maintaining searchable catalogs of file metadata and contents. Instead of performing slow, brute-force disk scans every time a user requests a search, Windows 2000 queries these pre-compiled catalogs, delivering near-instantaneous search results across local drives and network shares.

Building and Maintaining Catalogs

The primary function of the Indexing Service is to scan storage volumes and organize file details into a centralized database called a catalog. During idle system periods, the service monitors the file system for newly created, modified, or deleted files. By default, it manages a "System" catalog covering all local NTFS and FAT drives. It runs in the background and automatically pauses its operations whenever user activity demands significant CPU or memory resources, preventing system slowdowns.

Content and Property Extraction

Beyond tracking file names and dates, the Indexing Service performs deep content indexing. It utilizes modular components called IFilters to parse the internal contents of formatted files, such as Microsoft Word documents, Excel spreadsheets, text files, and HTML pages. Another set of components, called word breakers, splits the extracted text into individual words based on the system's language settings. This enables users to locate documents based on specific phrases, keywords, or properties (such as file author or subject) without needing to open each file.

Integration with the Search Assistant

When a user launches the Windows 2000 Search Assistant from Windows Explorer or the Start menu, the search interface automatically checks if the Indexing Service is enabled. If active, the query bypasses the physical drive sectors and queries the indexed catalog directly. This supports advanced query syntax, including boolean operators (AND, OR, NOT), wildcards, and exact phrase matching, significantly refining the precision of search results.

Web Server Support

The Indexing Service in Windows 2000 also integrates directly with Internet Information Services (IIS) 5.0. Web administrators can use the service to index website directories, allowing visitors to execute fast, full-text searches across intranet portals or public websites via standard web query forms.
