Custom Category Rules in iOS 18 Mail Explained

Apple’s iOS 18 introduces on-device email categorization that automatically sorts incoming messages into Primary, Transactions, Updates, and Promotions. While users cannot create entirely new, custom-named categories or build complex conditional rules, they can override the default classification on a per-sender basis. Moving an email to a different category allows users to instruct the Mail app to route all future emails from that specific sender to the chosen category.

Overriding Default Classifications

When iOS 18 misclassifies an incoming message, you can manually reassign it. To change how a message is categorized:

  1. Open the email message or swipe on it in the message list.
  2. Select the option to move or categorize the message.
  3. Choose the preferred category (Primary, Transactions, Updates, or Promotions).
  4. When prompted, confirm that you want all future messages from that sender delivered to the selected category.

Once confirmed, the system saves an override rule specifically tied to that sender's email address, ensuring future correspondence bypasses the default classification algorithm.

Limitations of iOS 18 Mail Categorization

Although sender-level overrides are supported, the feature has clear boundaries:

  • No Custom Category Names: You cannot create personal categories such as "Work," "Travel," or "Finance." You are restricted to Apple's four preset categories.
  • No Advanced Rule Builder: Unlike macOS Mail or desktop web clients, iOS 18 Mail does not offer an advanced filter editor. You cannot set up rules based on subject line keywords, attachments, CC recipients, or message body content.
  • Sender-Only Logic: All classification overrides apply strictly at the sender address level rather than through dynamic criteria.

Managing Sender Overrides

If you want to view, adjust, or reset your overrides, you can manage sender assignments directly through the Mail app settings. If you prefer a traditional, unified view, Apple also allows you to disable the categorized view entirely, returning your inbox to a standard chronological list.
