How to Share Collaboration Links in iOS 16 Messages

With iOS 16, Apple expanded the capabilities of the Messages app by introducing a streamlined collaboration system that lets users work together on shared projects in real time. Instead of merely sending a static file copy, sharing a link through Messages invites recipients to actively view or edit shared content in supported apps like Pages, Keynote, Numbers, Notes, Reminders, and Safari Tab Groups. This guide explains how collaboration link sharing works, how to initiate a collaborative session, and how participant permissions are managed within a conversation thread.

The Difference Between Sending a Copy and Collaborating

When you share a document or item in iOS 16, the system Share Sheet offers two modes:

  • Send Copy: Sends an independent, duplicate file to the recipient. Changes made by either party do not sync.
  • Collaborate: Generates a dynamic link that grants recipients access to the original file stored in iCloud. Everyone works on the same live version.

How to Start a Collaboration via Messages

To initiate collaboration on a supported item:

  1. Open the app containing the item you want to share (e.g., Notes, Pages, or Reminders).
  2. Tap the Share button.
  3. Directly below the document title in the Share Sheet, look for the dropdown menu. Ensure Collaborate is selected instead of Send Copy.
  4. Tap the permission options below the dropdown to configure access:
    • Who can access: Choose between Only invited people or Anyone with the link.
    • Permissions: Set whether participants Can make changes or have View only access.
  5. Select Messages as the sharing method.
  6. Enter the name of an individual contact or an existing group chat, then send the message.

Automatic Access Management for Group Threads

One of the key enhancements in iOS 16 is automatic access synchronization with Messages group chats.

When you share a collaboration link into an active group thread, every member of that conversation is automatically granted access to the file. If new members are added to the Messages thread later, the system prompts you to extend access to those new participants automatically. Conversely, if a participant leaves the group, their access can be revoked directly from the file’s collaboration settings.

Real-Time Activity and Thread Integration

Once a collaboration link is shared, the Messages thread acts as a hub for project activity:

  • Activity Updates: Whenever a participant edits the file, updates appear at the top of the Messages conversation thread. Tapping the update badge takes you directly to the latest changes inside the relevant app.
  • Direct Communication: Inside the collaborating app (such as Pages or Notes), you can tap the Collaboration icon at the top of the screen to quickly send a message, initiate an audio call, or start a FaceTime session with the collaborators.
