Managing Tag Folders in iOS 15 Notes App

Apple introduced a major organizational overhaul in the iOS 15 Notes app by adding system-wide tags and Smart Folders directly to the sidebar. This update allows users to categorize notes using inline hashtags and automatically group them into dynamic sidebar folders. This guide breaks down the core updates introduced for managing tags and tag-based folders within the sidebar interface.

The Tag Browser in the Sidebar

In iOS 15, a dedicated Tag Browser section was added at the bottom of the sidebar (Folders view).

  • Tag Aggregation: Any note containing an inline tag (e.g., #work or #receipts) automatically registers in the sidebar under the "Tags" section.
  • Multi-Tag Filtering: Users can tap on a single tag to view corresponding notes, or tap multiple tags simultaneously to narrow down the view to notes that contain all selected tags.
  • Quick Access: Tapping "All Tags" displays every tagged note across all standard folders in one unified list.

Converting Tags into Smart Folders

Alongside the Tag Browser, iOS 15 introduced Smart Folders, which act as persistent, rule-based folders in the sidebar.

  • Creation from Tags: Users can create a Smart Folder by tapping the "New Folder" icon in the bottom-left corner of the sidebar and selecting "Make into Smart Folder."
  • Tag Selection: When creating the folder, users select one or more tags that determine the folder's contents. Any note tagged with the chosen criteria automatically populates the folder without moving the original file.
  • Instant Conversion: Users can also select tags directly in the Tag Browser, tap the More button (three dots), and choose "Create Smart Folder" to instantly pin that tag query to the sidebar.

Managing and Editing Smart Folders

Once created, tag folders in the sidebar offer several direct management options:

  • Editing Filters: Long-pressing a Smart Folder in the sidebar brings up a context menu where users can tap "Edit Smart Folder" to add or remove tags associated with that folder.
  • Renaming and Deleting: Smart Folders can be renamed or deleted directly from the sidebar. Deleting a Smart Folder removes the automated view but does not delete the individual notes or their underlying tags.
  • Visual Differentiation: Smart Folders feature a distinct gear icon inside the folder symbol in the sidebar, clearly separating them from standard manual folders.
