Manage Shared Notes Permissions in iOS 15

Apple introduced several significant collaboration and permission updates to the Notes app in iOS 15, giving users deeper control and greater visibility over shared documents. The update refined how users grant editing versus read-only access, introduced real-time participant tracking, and implemented tools like Activity View, Highlights, and Mentions to streamline how multiple people work within the same note.

View-Only and Edit Permissions

With iOS 15, note owners gained flexible control over how collaborators interact with their content. When sharing a note, the owner can select Share Options to set baseline permissions:

  • Can make changes: Allows invited participants to edit text, add attachments, and modify checklists.
  • View only: Restricts participants to reading the note without the ability to edit or alter content.

Owners can also define who has access, choosing between "Only people you invite" or "Anyone with the link." These settings can be adjusted at any time after the note has been shared by tapping the Collaborate icon and navigating to Manage Shared Note.

Activity View and Highlights

To improve accountability alongside permission management, iOS 15 added the Activity View. This feature displays a summary of edits made by each collaborator since the owner last opened the note, along with a daily log of contributions.

Additionally, swiping right from anywhere inside a shared note reveals Highlights. This displays color-coded contributor names alongside their specific edits, complete with timestamps, making it immediately clear who made changes under their assigned permissions.

User Mentions and Notifications

Collaborators with edit permissions can use Mentions to notify specific participants. By typing the @ symbol followed by a collaborator's name, the mentioned user receives an immediate notification linking directly to the note, ensuring important changes and requests are seen promptly.

Managing and Revoking Access

The updated management interface allows note owners to make changes on a per-user basis:

  • Individual Access Settings: Owners can tap on a specific participant's name to change their individual permissions from "Can make changes" to "View only," or vice versa.
  • Remove Access: Owners can instantly revoke access for an individual user without disrupting the access of other collaborators.
  • Stop Sharing: Owners can terminate access for all participants at once, converting the note back to a private document stored locally or on personal iCloud storage.
