Link Excel to CorelDRAW for Dynamic Card Printing
Connecting an Excel spreadsheet to CorelDRAW allows you to automate the production of dynamic cards, such as employee ID badges, business cards, membership cards, and event passes. By leveraging CorelDRAW's native Print Merge utility, you can pull structured records from a spreadsheet directly into designated design placeholders. This guide provides a straightforward, step-by-step walkthrough to prepare your data, import it into CorelDRAW, position your dynamic fields, and generate multi-record batches ready for print.
1. Prepare and Export Your Excel Data
CorelDRAW reads data most reliably through delimited text formats rather than raw workbook files.
- Open your card data in Microsoft Excel.
- Ensure the first row contains distinct, single-line column headers
(e.g.,
FirstName,LastName,JobTitle,IDNumber). - Verify that each subsequent row represents one individual card record.
- Go to File > Save As.
- Set the file format to CSV (Comma delimited) (.csv) or Text (Tab delimited) (.txt).
- Close the file in Excel to prevent file-locking errors during the import process.
2. Set Up the Base Card Design
- Open CorelDRAW and create a new document matching your card dimensions (for example, standard CR80 credit card size: 3.375 × 2.125 inches).
- Design all static elements, including company logos, background graphics, borders, and fixed labels.
- Leave empty spaces where dynamic information (names, numbers, titles) will appear.
3. Open the Print Merge Utility
- In CorelDRAW, navigate to the top menu and click File > Print Merge > Create/Load Print Merge.
- In the setup wizard that appears, select Import text from a file or an ODBC data source, then click Next.
- Click the folder/browse icon.
- In the file type dropdown, choose Comma Separated Files (.csv) or Text (.txt) depending on how you saved your spreadsheet.
- Select your exported file and click Open, followed by Next.
4. Verify Fields and Records
- The wizard will display the column headers found in your file. Ensure all relevant text fields are checked.
- Click Next to preview the imported rows. You can deselect specific rows here if certain cards should not be printed.
- Click Finish. The Print Merge floating toolbar will now appear on your workspace.
5. Insert Dynamic Text Fields
- On the Print Merge toolbar, open the Field
drop-down menu and select your first dynamic column (e.g.,
FirstName). - Click Insert Selected Print Merge Field. A placeholder text box will appear on the canvas.
- Position the text box where it belongs on the card.
- Format the placeholder text using the standard CorelDRAW text controls (select font family, weight, size, color, and paragraph alignment).
- Repeat this process for all remaining dynamic fields (e.g.,
LastName,JobTitle).
Tip: For names or titles with varying lengths, set the text alignment to Center or ensure text frames have adequate width to prevent text overflow.
6. Generate and Print the Cards
Once all dynamic placeholders are positioned and styled, finalize the merge using one of two methods from the Print Merge toolbar:
- Merge to New Document: This generates a new multi-page CorelDRAW document where each page contains an individual, fully populated card. Use this option to double-check layout integrity, make record-specific adjustments, or export the entire run to a multi-page PDF.
- Perform Print Merge: This opens the standard Print dialog directly. From here, you can configure imposition settings in the Print Preview window to print multiple cards per sheet (such as an 8-up or 10-up layout on Letter or A4 stock) before sending the job directly to your card or sheetfed printer.
