How to Create Variable Data Documents in CorelDRAW

Variable data printing allows you to automatically produce personalized documents—such as badges, certificates, direct mail, and numbered tickets—by dynamically merging static artwork with external data. In CorelDRAW, this functionality is driven by the native Print Merge tool, which integrates external data sources like CSV or TXT files directly into your design layout. This guide outlines the exact, step-by-step process to prepare your data, configure your template, map variable fields, and output the merged records.

1. Prepare Your Data File

Before working in CorelDRAW, organize your variable information in a spreadsheet program like Microsoft Excel or Google Sheets.

  • Create column headers for each variable element (e.g., FirstName, LastName, Company, IDNumber).
  • Fill in the corresponding data rows beneath each header.
  • Save or export the completed sheet as a Comma Separated Values (.csv) or Text (Tab delimited) (.txt) file.

2. Design the Base Template in CorelDRAW

  • Open CorelDRAW and set your page dimensions according to your final output size (e.g., standard business card, letter, or badge size).
  • Place all static artwork, such as background graphics, logos, borders, and fixed text labels.
  • Leave designated open spaces where the dynamic data will appear.

3. Launch the Print Merge Tool

  • Navigate to the top menu bar and select File > Print Merge > Create/Load Print Merge.
  • In the setup wizard, select Import text from a file or an ODBC data source, then click Next.
  • Click the browse button, locate your saved CSV or TXT file, and open it.
  • Review the recognized fields and rows to confirm the data imported correctly, then click Finish. The Print Merge Toolbar will now appear on your workspace.

4. Insert and Format Dynamic Fields

  • In the Print Merge toolbar, select the desired field name from the Field drop-down menu.
  • Click Insert Selected Print Merge Field. CorelDRAW places a text placeholder with angled brackets (e.g., <FirstName>) onto your page.
  • Select the placeholder with the Pick tool or Text tool to apply formatting:
    • Adjust the font family, weight, and size.
    • Set text alignment (e.g., Center alignment prevents variable-length names from shifting out of position).
    • Apply brand colors or text outlines as required.
  • Repeat this step for every variable field in your data file.

5. Preview and Output the Final Documents

Once all fields are placed and formatted, choose your output method directly from the Print Merge toolbar:

  • Merge to New Document: Generates a new, multi-page CorelDRAW document containing one completed page per data record. This option is ideal for reviewing records, performing manual adjustments, or exporting to a multi-page PDF.
  • Perform Print Merge: Sends the job directly to the print dialogue, allowing you to print straight to a physical press or a PDF printer with full control over imposition, crop marks, and color management.
